Invoice and receipt automation with a person at the checkpoint
Paperwork keeps arriving: supplier invoices, fuel receipts, material tickets, photos taken in a truck. DO LESS builds invoice and receipt automation that reads the details, checks them, and organizes them into records your bookkeeper can trust.
The problem it solves
Receipts pile up in glove boxes and inboxes until month end, when someone has to retype each one and guess which job it belonged to. Errors creep in, expenses go unclaimed, and job costs are understood too late to matter.
How extraction and validation work
A submitted invoice or receipt is read for vendor, date, totals, tax, and line items. The workflow then checks what it can: whether the numbers add up, whether the vendor is known, whether the document looks like a duplicate, and whether required fields are present. Anything unclear is flagged rather than guessed.
Review and bookkeeping integration
Extracted records appear in a review queue where a person confirms or corrects them, assigns a category and a job, and approves. Approved records can be exported or sent to accounting tools such as the one your bookkeeper uses. Which integrations are possible depends on the software and its access options, and we confirm this during scoping.
Realistic limits
Extraction is not perfect. Crumpled receipts, handwriting, and unusual layouts need more review. We do not replace your accountant or your judgment on tax treatment, and we do not file anything on your behalf. The goal is cleaner inputs, not hidden decisions.
Who it is for
Owners and office managers who handle accounts payable by hand, contractors who need expenses tied to jobs, and bookkeepers who spend too much of the month chasing documents.
What DO LESS does differently
We scope the automation around your books and your chart of accounts, keep human approval at the point where money is recorded, and tell you plainly what the system can and cannot verify.
